Basic Steps to Perform a Portal Sync
The Portal Sync feature enables users to efficiently add new data, update existing data, and remove data in bulk, all in one action. This feature is available for the following data types: Bus, Driver, Tickets, Stops, Routes, Zone, Zone Travelled Chart, Alert Contacts, Users, Smartcard Manifest
Below are the basic steps to use the Portal Sync feature:
Step 1: Navigate and select import
Step 2: Download file to prepare data
- Blank File: A template file without any data, used for adding new records to the system.
- Data List: A file containing all existing and active records for the selected data type. This can be used for reviewing, updating, or deleting data.
Step 3: Prepare data for import
- Click the (?) icon in the top-right corner of the import form to access the Data Rules, and follow the instructions for entering data correctly.
- Open the downloaded file and prepare the data according to the rules in the Data Rules section.
Step 4: Upload the file
Use the File Input field or the attachment icon to upload your prepared file.
Step 5: Select the desired action
- If applicable, select the Organisation from the dropdown menu.
- Choose the action you wish to perform:
- Add: Inserts all valid data from the uploaded file into the system.
- Update: Updates existing records in the system based on their IDs in the file.
- Remove: Archives the records corresponding to the IDs in the file.
Important Notes:
- All data in the uploaded file must be valid for the action to execute.
- If any data is invalid, the entire process will be halted.
- Review the Validation Failures popup and amend the file as needed. Ensure compliance with the Data Rules before re-uploading.
- The Driver app (on iPads) will need to be logged out and logged back in to apply these changes.
By following these steps, you can efficiently manage bulk data changes using the Portal Sync feature.
